Transaction/Data Entry
Access: Press (1) on the Transaction Entry Menu. Selection: (A) To add transaction entries. (C) To change an existing transaction entry. (B) To change/delete transaction entry records using
the Browse function.
(D) To delete a transaction entry. NOTE: The system keeps track of every entry
in the transaction file (TRAN.DBF) and gives each one a sequential number.
The number presently in the transaction record # field on the transaction
entries screen is the number of the record that you are processing.
CAUTION: On completion of a transaction, the file balance field will display the current balance. After the debit and credit entries have been recorded the balance should read 0...if it is not, the file, and consequently the general ledger, is out of balance. Exit: Press (R) to return to the Transaction Entry

C. Description: Enter name on cheque, invoice, or briefly describe transaction (can be left blank). D. Reference: Enter cheque number, invoice

for credit entries, debit entries enter normally.

G. Source Code: Indicates the source of the transaction (e.g. "CB" for chequebook, "AP" for accounts payable, "AR" for accounts receivable). The source code helps to divide the transactions up into sections for ease of reconciliation. H. File Balance: On completion of each transaction the system displays the current balance to indicate whether the current transactions remain in balance. After each entry the computer prompts for next action:
(M) To enter another transaction (default - press enter). (C) To correct the previous entry. (B) To run DBASE BROWSE commands (see Appendix)

(?) This will bring up a list of all the G/L master accounts (MSTR.DBF) so the user can look up a specific account. By using the cursor-up and cursor-down keys, highlight the one you want, then press "Esc" to leave Browse. If you wish to use the selected account rather than the account already entered in the previous transaction, select (C)orrect (the new account will automatically appear in the G/L field) and press "Pge Dwn" to file the record. (E) To return to the Transaction Entries menu selection. (C)HANGE
(S)earch allows you to search for a transaction
by either Description, Reference, G/L Account# or Trans Record#.
If the entry displayed on the screen is the entry to be edited, press
(E) to edit the entry,
(C) If the displayed entry is not the entry to be edited, press (C) to continue search for one of the other selections. If system displays "NO RECORD" message then change the Search criteria or exit the Change function. (E) allows the user to edit the displayed transaction. Exit : Press (R) to return to the Menu Selection,

(D)ELETE
"Is this the record you wish to DELETE (YES/NO) : :" Entering "YES" directs
the computer to delete this record.
HINT: If you have no idea what G/L account number should be used when you are entering data, assign the last G/L account number (e.g. "zzz" or "9999") to the transaction. You can then go back later and correct the entry. This saves time on entry and keeps the Transactions File in balance. (B)ROWSE
Locate the records you wish to change and make your corrections. Care should be taken in this stage because the normal edit checking is not in force (see APPENDIX for BROWSE instructions). Press "F10" to activate the Browse Menu. When you have completed your changes, hold the "Ctrl" key down and press "End" or "W" to return to the transaction entry menu. The following message will appear "Did you delete any records (Y/N)". Press 'Y' and the system will purge the Transactions File of any deleted records when you return to the Transaction Entry Menu. All other records will remain intact. Exit: Press (R) to exit to the transaction menu, or

You may also use the Reorganize Transaction File Option (press (3)(4) on the Master Menu) to delete marked records. |
